OVERVIEW OF THE ROLE
- The Administrative Manager supports the Head of Administration with the oversight of all non-academic operations of the school. This includes the supervision of kitchen staff, cleaners, front desk officers, and other support staff. The Administrative Manager ensures the school environment remains clean, safe, secure, and conducive for learning. The role also involves consistent communication with parents, upholding safety and child wellbeing, and maintaining operational excellence in line with the mission and vision of Teenee Todds Day Nursery and Broadoaks British School.
RELATIONSHIPS
- The Administrative Manager reports directly to the Head of Administration. In the absence of the HOA, the role reports to the HOS/DHOS. The Administrative Manager oversees the day-to-day activities of all assigned administrative support staff, including kitchen staff, cleaners, front desk officers, and others designated by the Head of Administration.
Team Supervision and Operations Coordination
- ​Support the Head of Administration in overseeing all school operations.
- Supervise kitchen staff and other administrative/support personnel.
- Liaise with HR on recruitment, onboarding, and training of support staff.
- Monitor staff attendance, punctuality, and daily duties.
- Conduct regular walk-throughs to ensure facility readiness and cleanliness.
- Participate in calendar planning and ensure clear communication across staff/parents.
- Enforce policies including dress code, punctuality, hygiene, and code of conduct.
- Document and report any disciplinary issues and actions taken.
- Ensure daily setup readiness, including classrooms, common areas, and reception.
- Conduct daily morning briefings with administrative staff to communicate goals and updates.
Parents and Community Relations
- ​Serve as a key point of contact for all non-academic parent communications.
- Ensure queries are responded to promptly (within 24 hours).
- Oversee incident and health report documentation and communication.
- Maintain administrative records for all students.
- Communicate health updates and enforce the Sick Child Policy.
- Maintain a welcoming and safe environment for parents and visitors.
Safety,Security and Wvisitors
- ​Ensure consistent implementation of pick up protocols.
- Collaborate with the Nurse and Facility Manager on daily checks of the campus environment.
- Support periodic fire drills and emergency response checks.
- Track and report any potential safety or security issues to the Head of Admin.
- Liaise with cleaning teams to maintain hygiene standards in accordance with health regulations.
Kitchen management and hygiene oversight
- ​Supervise kitchen staff and daily operations.
- Ensure food served is nutritious, age-appropriate, and prepared under hygienic conditions.
- Conduct weekly inspections of kitchen cleanliness, food storage, and compliance.
- Liaise with the school nurse for special dietary needs and allergy awareness.
- Maintain inventory control of kitchen supplies and track expiry dates.
- Ensure kitchen staff maintain personal hygiene and wear appropriate uniforms.
Quality Control
- ​Conduct daily spot checks across the school for hygiene, maintenance, and orderliness.
- Maintain high standards of cleanliness in all school areas (classrooms, bathrooms, kitchen, etc.).
- Work with the Facility Manager to ensure resolution of reported facility issues within 48 hours.
- Ensure all administrative records are accurate, up to date, and securely stored.
General Administration
- Maintain up-to-date records on all administrative, facility, and safety operations.
- Participate in strategic planning meetings with senior leadership.
- Support school events with coordination and operational logistics.
- Maintain professional knowledge through workshops, networks, and publications.
QUALIFICATION & EXPERIENCE
- Education: Bachelor’s Degree in Business Administration or related field. MSc, MBA, or relevant certifications (HRM, Safety, Facilities Management) are an added advantage.
- Professional Certifications: NIM, ICSAN, CMD, CIPM, CIPD, SHRM, or any relevant professional qualification preferred.
- Experience: Minimum 7 years in an administrative role with at least 3 years in management.
- Experience in a school or child-focused environment is preferred.
